Exception Processing

Challenge: Every day ALF receives mail for its clients that cannot be processed for one reason or another. Under normal circumstances those items would be packaged and shipped back to the client for review, notations made and then returned to ALF for processing. This delay in processing could affect a $15 payment or a $10,000 payment making the timely correction and collection of information very important. In a single day those items can easily add up to thousands of dollars in delayed deposits and funds availability.

Solution: ALF developed the Exception Decision Module to the image system which allows ALF to image any questionable payment and transmit that information electronically to the client for review. The client, with a screen worksheet tool, will make the necessary changes or notations and then transmit that information back to ALF for final processing. This client installed software application is fully automated and does not require any special processing on the part of ALF or the client.

Image Cash Letter

Challenge: To most organizations cash flow is a critical element in their daily management of funds. ALF realizes that it is very important to make sure funds are deposited timely ensuring the highest cash availability at the end of each day.

Solution: In 2007, with the installation of our current remittance processing system, ALF began sending deposits to our client’s bank electronically. Industry known as Image Cash Letter (ICL) processing this technique follows the mandated check 21 regulations. All checks transmitted are pre-qualified by the software so that rejects are not an issue. With this advanced technology ALF is able to transmit millions of dollars each and every day on behalf of our clients. The obvious advantage to our clients is lower processing costs and faster availability of funds for investment.

Custom Data Base Development

Challenge: One of the nation’s largest animal control organizations, in cooperation with a non profit funding group and local veterinary clinics, embarked on a spay/neuter program that was offered to local residents whereby the residents could have their pet spayed or neutered at no cost. Early responses to the program were very successful and the organization quickly realized that their infrastructure would not be able to keep up with the workload. Obvious budget constraints prevented the organization from hiring additional staff and without an automated solution the program would certainly be hindered. At best the program would continue on but would not meet the anticipated target or goals.

Solution: ALF developed, in partnership with The Emelar Group, a data base software application which automated the required processes enabling the organization to meet its goals with current staff.

  • Automation of the accounting process ensuring the veterinary clinic is paid for services rendered.
  • A full reporting module provides the necessary detailed historical information by pet owner, services performed, veterinary clinic and payments made.
